Fundamental prompting rule
The more context you give, the better results you get. Always include:
- Your company sector
- Target customer (who, what they want)
- Desired tone of voice
- Specific email goal
- Length and structure
Prompt 1 — Welcome email post-subscription
Write a welcome email for someone who subscribed to [COMPANY NAME]'s newsletter.
Context:
- Sector: [e.g. accounting firm for SMEs]
- Target customer: [e.g. SME owners aged 35-55]
- Tone: [e.g. competent but human, no jargon]
Structure:
1. Personal greeting + thanks (2 lines)
2. What they'll receive in next emails (3-4 specific points)
3. A "quick win" immediately useful (link to guide/resource)
4. Secondary CTA: contact us if questions
5. Sign-off with real name
Length: max 150 words. No phrases like "we're thrilled".
Prompt 2 — Post-quote follow-up email
Write a 3-email sequence to follow up after sending a quote to a prospect.
Context:
- Service: [e.g. solar panel installation for home]
- Quote value: [e.g. €18,000]
- Customer: [e.g. family with detached house, in evaluation phase]
Timing:
- Email 1: 3 days after quote sent
- Email 2: 7 days after email 1 (10 days total)
- Email 3: 14 days after email 2 (24 days total)
For each email:
- Subject line (40-60 chars)
- Body (max 120 words)
- Clear CTA
Tone: friendly, not pushy, value-focused.
Email 3: last chance, but without being desperate. Offer alternative (basic package, instalment payment, free consultation).
Prompt 3 — Abandoned cart recovery (e-commerce)
Write a 3-email sequence to recover abandoned carts.
Context:
- E-commerce: [e.g. women's sportswear]
- Average cart: [e.g. €75]
- Customer profile: [e.g. women 25-45, active, price-sensitive]
Timing:
- Email 1: 1 hour after abandonment
- Email 2: 24 hours later
- Email 3: 72 hours later (with discount)
For each email generate:
- Subject + preview text (Gmail preview)
- Simple HTML body (no complex tables)
- Main CTA back to cart
Email 3: includes 10% discount code valid 24 hours. Communicate real scarcity, not fake urgency.
Prompt 4 — Reactivation of dormant customers
Write an email to reactivate customers who haven't bought in [e.g. 8 months].
Context:
- Business: [e.g. London hair salon]
- Target: [e.g. clients who came regularly, then disappeared]
- Service: [e.g. cut + colour]
The email must:
1. Acknowledge time has passed (no guilt-tripping)
2. Show what's changed/improved (new treatment, new location, etc.)
3. Offer concrete incentive (e.g. free consultation or return discount)
4. Subject that opens curiosity without being clickbait
Length: 100-150 words.
Tone: warm, personal, no "we value our relationship with you".
Prompt 5 — Product/service launch email
Write a launch email for a new [e.g. tax consulting service for startups].
Context:
- Target market: [e.g. early-stage startup founders in the UK]
- Main pain point: [e.g. don't know what to file in first months]
- Solution: [e.g. €1,500 consulting package for 12 months]
- Differentiation: [e.g. practical consulting, no slides, 1-hour sessions]
Structure:
1. Hook identifying the specific problem (lead paragraph)
2. Why it's critical (1-2 lines)
3. Solution (what we include, in 4-5 specific points)
4. Social proof if you have it (testimonial/numbers)
5. Price and what is NOT included (transparency)
6. Clear CTA with deadline/limit (e.g. first 10 clients)
Tone: clear, confident, no buzzwords. Length: 250-350 words.
Pro tips for using AI
1. Iterate, don't accept the first version
After getting the first version: "Rewrite more directly. Cut every generic sentence. Keep the same structure."
2. Insert your brand examples
"Here's how I write: [paste 2-3 of your previous emails]. Keep this style."
3. Fact-check
AI invents numbers/data. Never publish figures without verification.
4. Personalise after
AI gives the structure. You add your company's specific details.
5. Always A/B test
Don't assume the AI email is better. Test against your usual version.
